Multi-company and multi-currency files

How to organize ERP files when you manage several companies or bill a buyer in several currencies.

Several companies

You can send either one global file containing all your companies, or one file per company. Each line identifies its company with COMPANY_CODE, your internal company code.

  • Each COMPANY_CODE must match a company you are authorized to access in Afakto.

  • Use the same COMPANY_CODE in the buyers, receivables and client journal files.

  • For receivables, each company present in a file must have all its open items in that file. See Receivables file: always send the complete set.

Buyers billed in several currencies

The buyers file contains one line per buyer and per currency. The buyer keeps the same BUYER_CODE on each line, only the CURRENCY column changes.

EUR

If a buyer is billed in a single currency, enter that currency on its only line, for example EUR.

When a credit limit is provided in CREDIT_LIMIT_AMOUNT, it is expressed in the currency of the line.

Buyer files can contain either only new buyers, or the full list of buyers. Existing buyers included in the file are updated, not duplicated. Buyers absent from the file are left untouched.
