A receivables file is not a list of changes. Afakto reads it as a complete snapshot of the open items of each company it contains.
How Afakto processes the file
For each company present in the file (identified by COMPANY_CODE):
Items in the file that already exist in Afakto are updated.
Items in the file that do not exist yet are created.
Items that exist in Afakto but are absent from the file have their balance reset to zéro. They are then considered closed.
Companies that do not appear in the file are left untouched.
What this means for your extraction
Include all open items for each company: invoices, credit notes, unallocated payments and other items. Not only the new or modified ones.
Do not split the open items of one company across several files. The second file would close the items sent in the first one.
You can send one file per company, or one global file covering several companies. See Multi-company and multi-currency files.
Example
Afakto holds three open invoices for company ACME01: INV-001, INV-002 and INV-003. The next file for ACME01 contains INV-002 and INV-003 only. After processing, INV-001 has a balance of 0 and INV-002 and INV-003 are updated with the balances from the file.
Buyer files behave differently
A buyer file can contain only new buyers or the full list. Buyers absent from the file are not modified.
